Overview

Canvas Apps serves as a central hub for administrators to manage and monitor LTI 1.3 tool deployments. As a Canvas root account or sub-account administrator, you can configure global tool availability (Available vs. Not Available) and set targeted Exceptions for specific sub-accounts or individual courses without changing the global baseline setup.

Note: The MyEducator LTI 1.3 external tool/app must be installed before its availability and exceptions can be managed. If you have not installed the app yet, please follow the setup instructions in our Canvas-Inherited Global Integration Setup guide first.

Step-by-Step Guide

1) Log in to your Canvas administrator account. Locate and click on the “Admin” tab in the Global Navigation bar.

2) Select your institution's root account (or designated sub-account).

3) In Account Navigation, locate and click on “Apps.”

4) Click the “Manage” tab at the top of the page.

Note: The "Manage" page lists all LTI 1.3 configurations set up in your Canvas environment.

5) Locate and select the LTI 1.3 tool you wish to configure (e.g., "MyEducator Resources (LTI 1.3)").

Note: If the tool has not yet been deployed to sub-accounts or courses, click the Create Deployment button to begin deployment configuration.

6) To set the baseline availability for the app, click the “Edit” (pencil) icon under the Availability section.

7) In the Availability drop-down menu, select either “Available” or “Not Available,” then click “Save.”

Available: Enables the tool across all child sub-accounts and courses by default.

Not Available: Keeps the tool hidden/disabled across the institution by default.

8) To create a targeted override rule, click the “Add Exception” button.

9) In the “Add Availability and Exception” window, search for and select the specific sub-account(s) or course(s) you wish to modify.

10) Set the exception status for the selected sub-account or course to “Available” or “Not Available,” then click “Save.”

Note: Sub-account level exceptions are recommended if an entire department requires access. Any new courses created inside that sub-account will automatically inherit the exception rule.

11) To edit or remove an existing exception, locate the entry in the list and click the “Edit” (pencil) icon or “Delete” (trash can) icon.

12) (Optional) Click the “Lock / Unlock” toggle on the App Management page to prevent non-admin users from installing the app using the Client ID on legacy App pages.

13) (Optional) Click the “History” tab to review a log of all past availability changes, timestamps, and administrator actions.

Important Notes & Best Practices

Course Copies: When a Canvas course containing an exception rule is copied, the exception does not copy over to the new course. This safety measure prevents unauthorized courses or users from gaining unintended access to restricted tools.

Sub-Account Inheritance: To ensure new courses automatically receive access without manual setup each term, apply the exception rule at the sub-account level rather than the individual course level.

Legacy Root Deployments: If an LTI tool was previously deployed directly at sub-account or course levels, Canvas may require installing the tool at the root level using the legacy By Client ID method before setting root availability and exceptions.
